THE VYASTI INDEX / 00—04

01 / SERVICES / THE VYASTI ECOSYSTEM

Make the parts work together.

A brand, a product, a platform—what matters is how the work fits together. Pick a starting point and see where it can lead.

Not sure where to begin? We can help define the right first step.

Where should we begin?

EVENT TECHNOLOGY / PEOPLE FIRST

The event starts before the doors open.

A guest should feel expected. Your team should feel in control. We design event registration and ticketing systems that connect booking, payments, secure admission and the work that follows.

ONE JOURNEY

Register → Arrive

FROM THE FIRST INVITE TO THE FRONT DOOR

Made for people arriving, and the teams welcoming them.

THE MOMENTS PEOPLE REMEMBER

Nobody remembers your backend. They remember the wait.

The attendee has a simple goal: book, arrive and belong. The organiser is carrying capacity, payments, exceptions, last-minute changes and an entire team at the door.

The guest who never got their ticket

A payment succeeds, but confirmation never reaches the attendee.

The queue that keeps growing

Staff are stuck searching lists while people wait at the entrance.

The scan that works twice

A forwarded code, cancelled ticket or weak connectivity causes uncertainty.

DESIGN FOR THE DAY IT GETS BUSY

Better systems make the human interaction feel simpler.

ONE EVENT / FOUR CONNECTED MOMENTS

Follow the ticket. See the decisions.

Choose a moment in the attendee journey to see what the system needs to handle. This is a conceptual interface—not a live product.

AUDIENCE SEGMENT

01 / 04

The right place for every guest.

A form should ask only what is needed, apply eligibility and capacity rules, and make the next step obvious.

ONE RECORD / CLEAR HANDOFFS

Registration is a beginning. Not a separate island.

A dependable event platform joins participant decisions to the operational reality, from ticket rules to finance reconciliation.

01 / SYSTEM LAYER

Register

Visitor roles, quotas, access requirements.

02 / SYSTEM LAYER

Issue

Payment state, refunds, unique ticket rules.

03 / SYSTEM LAYER

Admit

Scan controls, duplicates, offline recovery.

04 / SYSTEM LAYER

Reconcile

Attendance, transaction and exception reports.

DESIGN FOR THE EXCEPTION

The real test happens when something changes.

A guest transfers their pass.

Old credentials must be invalidated when a transfer is approved.

A scanner temporarily disconnects.

Staff need a defined local fallback and a conflict-resolution procedure.

A refund is completed.

Validity, payment and reporting must reflect the reversal.

WHEN THE VENUE IS FULL

Your team needs answers, not another disconnected dashboard.

CLEAR SCOPE / ACCOUNTABLE DELIVERY

Not just a beautiful form. A system your team can run.

We define deliverables around observable workflows, operator needs and the checks required before release. Exact implementation depends on discovery and the agreed scope.

BUILT FOR THE EVENT TEAM

The calm behind the welcome.

  1. 01

    Registration & capacity map

Eligibility, ticket classes, quotas and field requirements.

  2. 02

    Purchase, refund & transfer rules

What each payment or change does to the ticket state.

  3. 03

    Check-in experience & fallback

Scanner states, operator actions, duplicate and offline handling.

  4. 04

    Reconciliation & owner handover

Reports, exceptions, role responsibilities and review criteria.

EXAMPLE RELEASE CRITERIA

  • Capacity does not oversell during simultaneous bookings
  • Duplicate scans are flagged for staff
  • Refund or transfer changes ticket validity
  • Accessible check-in fallback is documented

INTERACTIVE RELEASE EXERCISE

What happens when the scanner says something unexpected?

Choose a scenario. See how an operations team could define a release test before event day. This is an illustrative worksheet, not an active admissions tool.

Real outcomes depend on your platform, venue connectivity, ticket policies and the approved exception process.

PROPOSED STATE / ENTRY ALLOWED

Valid ticket

The ticket is eligible, unused and valid for this event and entry window.

ACCEPTANCE CHECK

  • Verify code signature/lookup, role access and event-time rules.

  • A single check-in record is created after validation.

Conceptual logic only. No personal data, payment gateway or actual ticket is processed.

BEFORE THE DOORS OPEN

Questions worth asking before event day.

ANSWER 01 / 07

Can registration handle different ticket categories and invitation-only guests?

Yes, if those rules are documented. We can design ticket tiers, attendee roles, quotas, waitlists and invite eligibility. The exact setup depends on the event, payments and approval process.

BEFORE THE DOORS OPEN

Questions worth asking before event day.

Can registration handle different ticket categories and invitation-only guests?

Yes, if those rules are documented. We can design ticket tiers, attendee roles, quotas, waitlists and invite eligibility. The exact setup depends on the event, payments and approval process.

Can we accept payments and send tickets automatically?

That can be part of a scoped implementation. Payment confirmation, ticket issuance, failed transactions, refunds and communication states must be mapped to the chosen payment provider and tested before launch.

How do you prevent duplicate ticket scans?

We define unique credential rules, admission status and staff permissions. Duplicate scans should be flagged and routed to an authorized operator. Specific security guarantees depend on the architecture and on-site controls.

What happens if internet connectivity fails at the venue?

Offline check-in is possible with an appropriate design, but it requires careful synchronization, conflict handling, device access rules and an agreed fallback. It should be tested in venue-like conditions.

Can attendees transfer a ticket or request a refund?

Yes, when included in the scope. Transfers and refunds should update both payment and admission validity, with clear cutoffs, policies, notifications and an auditable change history.

Will our team be able to manage the system after launch?

That is an essential handover requirement. We define administrator roles, staff workflows, documentation, training needs and support responsibilities as part of the agreed delivery.

Do we need a completely custom ticketing platform?

Not always. Discovery should compare an existing event platform, an integrated setup and a custom build against your event volume, business rules, data needs and long-term ownership.

THE BEST EVENTS FEEL EFFORTLESS

Good events begin with people. Build the system around them.

Ticket rules you can explain. Check-in your staff can trust. A guest journey that feels considered from the first invitation to the final report. Bring us the event, the constraints and the moments that must work.

We start with the real journey, not a feature checklist.
